Administrative Assistant
General Description
We are seeking a detail-oriented and self-motivated Administrative Assistant to support daily office operations at a union district office located in Rancho Cucamonga. This role serves as the primary point of contact for the location and operates with a high degree of independence. The Administrative Assistant will provide essential support to union members, business representatives, and leadership while ensuring efficient and accurate administrative operations.

Key Responsibilities
- Independently manage day-to-day office operations with minimal supervision
- Serve as the primary office contact by handling phone calls, emails, mail, office supplies, and package deliveries
- Assist union members with applications, dues processing, onboarding, and general inquiries
- Perform accurate data entry and maintain organized records, reports, and documentation
- Prepare and manage weekly and monthly reports using Microsoft Excel
- Reconcile accounting and reporting data and manage petty cash
- Coordinate Zoom meetings and support basic technology needs (e.g., browsers, docking stations, shared drives)
- Maintain a clean, organized, and professional office environment, including common and kitchen areas
- Support annual and semi-annual projects, including dues calculations and organizational communications
- Assist with travel planning for conferences held approximately every four years

- Ability to interact confidently with executive-level professionals
- Advanced proficiency in Microsoft Office Suite and general technical aptitude
- Comfortable working independently for extended periods; highly self-sufficient
- Experience with payroll systems (e.g., ADP) preferred but not required
- Paralegal experience or legal knowledge is a plus
- Familiarity with shared drives and basic troubleshooting of office technology

Pay Rate
$24.00 - $25.00 Per Hour Based on Experience
